•Handling or delegating basic office tasks, such as filing, preparing meeting areas and presentation materials, delivering mail, answering emails and phone calls, and data entry.•Supporting all internal and external HR for National Staffs and Expats •Coordinating schedules and managing calendars for multiple parties to ensure that activities are properly arranged and prevent conflicts.•Making travel arrangements and preparing documents, presentation materials, and facilities for meetings.•Inputting and updating company, employee, and client data.•Ordering, storing, and distributing office supplies and maintaining, repairing, or replacing office equipment.•Directing, reviewing, and optimizing office operations to increase accuracy, productivity, and efficiency and reduce costs.•Cooperating with all relevant departments within our group, especially with Tokyo Headquarter and overseas office in Singapore.(Supplemental)•Providing basic bookkeeping services.•Preparing documents for submitting to governments and related organizations with the Agents, such as applications for Visa, Tax, Social Insurance, License and so on.
REQUIRED WORK EXPERIENCERequired
•Bachelor Degree holder•Minimum 5 years of experience in General Administration(5 to 10 Years experiences)•Experience as an HR Staff•Experience in small company ((preferable) Experience in working at Japanese companies or financing industry)•Good command of English language and Bahasa Malaysia•Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.•Exceptional time management, interpersonal, and verbal and written communication skills.•Proactive, organized approach to multitasking.•Professional appearance, courteous manner, and clear, friendly phone voice.•Ability to remain calm and think clearly under pressure and successfully navigate or diffuse tense situations.•Understanding of accounting principles and bookkeeping software may be required.•Familiarity with office technology and equipment, including computers, fax machines, scanners, printers, phone systems, etc.
