• Handle the day-to-day administrative and general secretarial matters for the Director including monitoring of deadlines and follow-up on work assignment.
• Handle all aspects of corporate secretarial duties and functions in compliance with the statutory requirements under Companies Act 2016.
• Liaise with Company secretary to prepare company’s resolutions, minutes and any other notice as per statutory requirement.
• Maintain strict confidentiality of information, documentation and able to interact professionally with all levels. • Organize and maintain a systematics filling for ease of record/data retrieval.
• Manage meeting schedules, correspondences, report, call screening and travel arrangements such as flight reservation, visa, accommodation and etc.
• Assist Director’s in managing personal matters including arrangement on personal payment, coordinating for residence’s routine services or maintenance, managing maids and drivers.
• Assist in Human Resources & Administration work task.
• Responsible undertake any other ad-hoc task or duties as assigned by the management from time to time.
REQUIRED WORK EXPERIENCERequired
• Bachelor's Degree/Diploma in Business Management / Secretarial or any related fields.
• Must possess minimum 5 years of working experience in personal assistant or secretarial position. Preferably sound experience in handling various tasks in Director's office.
• Pleasant personality with good communication and interpersonal skills.
• Positive, initiative, responsible personality and able to work in a team.
• Able to work independently, able to handle multi-task assignment and work in a fast-paced environment.
• Possess a tight sense of urgency and able to work under pressure and tight deadlines.
• Able to communicate in Japanese (speaking & writing)
